State the rental period and what's billed

A rental invoice differs from a sales invoice in one key way: it bills the use of something over a period, not a one-off transfer of goods. So the period itself is the most important field — "Rent for 1–31 May" or "Excavator hire, 14–18 June, 4 days" — because it's what the charge is calculated against. Whether you let property, hire out equipment, or rent vehicles, name the asset, the dates, and the rate (per month, per week, or per day) so the renter can check the sum themselves.

Recurring rent, deposits and extras

Keep the recurring rent on its own line and put one-off charges — a security deposit, cleaning, fuel, utilities, damage — on separate lines so they're never confused with the rent itself. A deposit in particular should be visibly distinct because it's refundable and isn't income in the same way. For an ongoing tenancy or hire, issuing one invoice per period with sequential numbers gives both sides a clean, checkable history of what was charged and when.

Prorating and late rent

When a tenancy or hire starts or ends mid-period, prorate: charge the daily rate for the days actually used rather than a full month, and show the calculation so it's transparent. State when payment is due and what the late fee is — for rent especially, a clear, agreed late charge is far easier to enforce than one sprung after the fact.
