What belongs on an invoice

An invoice is a formal request for payment, and a complete one rarely gets queried. Seven things make it complete: your business name and contact details, the client's details, a unique invoice number, the issue date and a due date, an itemised list of the work or goods with quantity and rate, any tax shown on its own line, and the total due with how to pay it. The word "Invoice" should appear on the document — some finance teams won't process a request that isn't labelled as one. This builder assembles all of that into a clean PDF, and because it runs entirely in your browser your figures never touch a server.

Getting paid faster

The due date is the single biggest lever on how quickly money arrives. Stating explicit terms — "due on receipt", "Net 14", "Net 30" — beats leaving the timing implied, and naming a late fee up front gives the terms teeth. Put your payment details where they can't be missed: bank or IBAN for transfers, or a note that a card link follows. Send the invoice the moment the work ships rather than at month-end, and quote the client's purchase-order number if they gave you one, since procurement often won't pay without it.

Numbering and keeping records

Give every invoice a unique, sequential number (INV-0001, INV-0002) so you and your client can reference it and so your books have no gaps — most tax authorities expect an unbroken sequence. Keep a copy of each one you issue; this tool generates the PDF locally and "Save draft" stores the current invoice only in your own browser. Need to agree a price before billing? How do I send the invoice?
Download the PDF and attach it to an email, or share the file directly. For recurring billing and online payment, an accounting tool like Wave or QuickBooks handles reminders and card payments.
